When you get an email asking you if you're available to serve on an upcoming Sunday, you can "accept" or "decline." If you decline, Luke (Dir. Worship and Music) knows you're not available and he can work toward finding someone else to fill that slot. But the staff just discovered a feature that lets you do exactly that!
Moving forward, we ask that worship leaders find replacements to fill their roles if they're unable to serve on any given day. This prevents Luke from sending multiple emails and making several confirmation phone calls to find replacements. It also keeps each ministry self-maintaining.
Here's how to swap:
If you select "decline" on a role, Elvanto will take you to a confirmation page and 3 options will pop up: “swap,” “replace,” or “decline." Choose swap or replace.
“Swap” will show you the next 3 weeks of services that are scheduled and who is serving at those services. Select the services and the ministers scheduled to serve. (We recommend selecting everyone so the entire team knows you’re looking to swap with someone.) You can then "send requests" (bottom right hand corner). This will alert the people serving over the next 3 weeks that you would like to swap with them. Once the request is sent it’ll be up to them to accept or decline. Elvanto will alert you and Luke once the switch is made.
“Replace” will automatically bring up a box that will show you every single person who is a member of the team for which you are trying to replace yourself on. Once this box pops up you can select folks to serve. Once you’ve selected folks, hit “Send Requests.” This will alert everyone that you would like to have them replace you that week. It will then be up to them to accept or decline. Elvanto will alert you and Luke once the switch is made.
